Badge Deactivation and Returns

Notify the Badging Office directly to report badge deactivations. Badges must be deactivated immediately upon job separation (including terminations, retirements, and resignations).

Badges must be returned to the Badging Office within 10 days of employee termination, retirement, resignation or expiration, or the company will be charged a $200 non-return badge fee. 

Deactivations

  • Submit deactivation requests through the portal. If you can’t access the portal, email mspsignerportal@mspmac.org (see below for instructions) or call 612-467-0623 (option 5). After hours and on holidays, contact the Emergency Communications Center at 612-726-5577.
  • E-mail Badging@mspmac.org with the following subject line: "Deactivate Badge #000000 LastName, FirstName, MiddleName" and include the following information in your email:
    • Last Name, First Name, Middle Name, Badge #
    • Reason for deactivation (employee termination, lost, stolen, suspension, military leave, medical leave, other)
    • Last day of employment (if applicable)
    • Expected return from suspension, leave, etc. (if applicable)
    • Is the badge in the possession of your company? 
  • The Badging Office must be notified via email if any employee will be on a leave of absence for 30 or more days. The badge must be deactivated during that period. Companies are required to retain possession of a badge in a locked drawer or safe. We require an email notification at least two business days prior to the employee returning to work so we can reactivate the badge.

Returns

  • In person: Badges may be dropped off in person 24 hours a day in the badge drop box located to the right of the front desk (around the corner) on the 3rd floor. Swipe the badge on the reader. This swipe will create a record of the badge being returned. Place the badge in the envelope that is provided, fill out the front of the envelope, and drop the badge in the slot. *TO TERMINATE OR DEACTIVATE A BADGE AFTER BADGING HOURS PLEASE CONTACT DISPATCH AT 612-726-5577* 
  • By mail: Registered mail is preferable (mailing address is on the back of the badge) or use one of our self addressed, postage-paid envelopes. 

TSA ADVISORY: Effective December 26, 2007, 49 USC 46301 (a) was amended by the addition of subparagraph (6): 49 USC 46301(a) (6):
FAILURE TO COLLECT AIRPORT SECURITY BADGES
…”any employer …who does not collect or make reasonable efforts to collect such badge from the employee on the date that the employment of the employee is terminated and does not notify the operator of the airport of such termination within 24 hours of the date of such termination shall be liable to the Government for a civil penalty not to exceed $10,000.”

 

BEST PRACTICES FORMS:

BADGE RECOVERY WORKSHEET - The purpose of this form is to document all badge recovery efforts of a terminated employee’s MSP Airport Security Badge. This worksheet should be completed for every employee termination whether voluntary or involuntary. All completed Badge Recovery Worksheets should be kept in a separate file indefinitely. The Airport Police Department or TSA may request to review them at any time.

BADGE RETURN RECEIPT - The purpose of this form is to provide the employee and company a receipt upon the return of a badge to a company representative. The top portion is for the employee, the middle portion is for the supervisor and the bottom portion is for the employee file. 

BADGE HOLDER AGREEMENT - The purpose of this form is to make the employee aware of his/her responsibility as a badge holder to return their MSP issued security badge. The completed form must me kept in the employee personnel file. 

Frequently Asked Questions

You have three options for returning your badge:1. Turn your badge into your supervisor or company’s human resources representative. 2. Drop it off yourself at the Badging Office or in the 24-hour drop box outside of the Badging Office. Fill out the envelope provided at the box, swipe the badge on the reader, and drop the badge in the box. Please use a separate envelope for each badge. 3.
